01 / PROJECT OVERVIEW
Software built around
daily operations.
We built a gym management system for Mateen Fitness Arena to support day-to-day operations. Staff can manage member records and plans, collect payments, track fee deadlines and attendance, organise shifts, and review business reports. The system also includes role-based access, workout and diet plans, and integrations for WhatsApp notifications, an AI assistant, and a face-attendance scanner.
What needed to change.
Gym operations juggle high footfall, fragmented member records, manual fee collection, expiring subscriptions, and multi-trainer commission tracking. Without a single connected system, tracking daily attendance, collecting renewals on time, and managing staff shifts across spreadsheets created administrative overload and revenue leakage.
What we created.
A unified management web application engineered around the daily operations of Mateen Fitness Arena. The platform streamlines member profiles, recurring subscriptions, and fee deadlines, connects directly to biometric face-attendance hardware, automates member WhatsApp notifications, and incorporates a Groq AI assistant.

Review business reports, monitor active subscriptions, analyze attendance patterns, and oversee revenue streams from a central view.
CSV & Excel Data Portability
Bulk import and export member directories, attendance logs, and financial transaction records using high-performance SheetJS (xlsx).
User Groups & Role-Based Permissions
Granular access controls separating administrative management, front-desk reception, and fitness trainers with JWT-secured sessions.
WhatsApp Cloud & Groq AI Assistant
Meta WhatsApp Cloud API integration for instant member fee alerts, accompanied by an AI assistant with a 3D chatbot widget.
